Google Workspace plans and licensing guide

Annual vs Flexible Google Workspace plans

By the Google Migrations team · Updated · 3 min read

Pick the annual plan if your headcount is stable and you want the lower price. Pick the Flexible plan if your team size changes often or you are in the middle of a migration. The annual plan commits you to a license count for a year. Flexible is billed monthly with no commitment, lets you add or remove licenses at any time, and costs about 20 percent more.

How do annual and Flexible plans differ?

The two plans differ on commitment, price, and how easily you can change your license count. The apps and features are the same on both.

For Business Standard, that means $14 on annual against $16.80 on Flexible, per user per month, as of October 2026. See Google Workspace pricing, explained for every edition, or the Google Workspace plans and licensing guide for the full picture.

When does the annual plan make sense?

The annual plan makes sense when you know your user count for the next year and want the lower rate. It suits:

  • Organizations with steady staffing and low turnover.
  • Teams that have finished migrating and cleaned up their user list.
  • Budgets that are set once a year and need a predictable figure.

The trade-off is that you pay for your committed licenses until renewal, even if you need fewer. If someone leaves, you can give their license to a new hire, so the cost is not wasted while you are still hiring. Before you commit, run a quick license right-sizing review so you do not lock in accounts you do not need.

When does the Flexible plan make sense?

The Flexible plan makes sense when your headcount changes often or you are not yet sure how many licenses you need. It suits:

  • Teams in the middle of a migration, while users move over in batches.
  • Seasonal businesses that add and remove staff through the year.
  • Organizations testing Google Workspace with part of the team first.
  • Groups expecting a merger, a reorganization, or a large hiring push.

During a migration, Flexible avoids paying twice for a full year on both systems. It pairs well with a clear plan for when to cancel Microsoft 365, so you do not run both longer than needed.

Can you switch between annual and Flexible?

Yes, with limits. You can generally move from Flexible to annual at any time, which is common once a migration settles. Moving from annual to Flexible is generally done at the end of your annual term rather than partway through it.

The exact options depend on how you buy. If you pay Google directly, the Admin console shows your plan and the choices available. If you buy through a partner, the partner makes the change for you. Either way, confirm the effective date and the first invoice amount before you switch.

What happens at renewal?

At renewal, an annual plan typically renews for another year unless you change it. Your renewal date is the one moment you can lower your committed license count or move to Flexible without penalty.

Put the renewal date on your calendar with a reminder a month or two ahead. Use that window to review who still needs an account, check your edition, and decide whether to renew as is, change your count, or switch plans. The first 30 days after a migration are also a good time to set this reminder.

Frequently asked questions

Is the annual plan paid upfront?

Not necessarily. With the annual plan you commit to a license count for the year, and billing is often monthly against that commitment. Prepaid options depend on how and where you buy. Ask Google or your partner how your invoices will be structured before you sign up.

What if our team shrinks partway through an annual plan?

You keep paying for the committed licenses until renewal. You can reassign an unused license to a new hire, so the cost is not wasted if you are still hiring. If the smaller team is permanent, reduce your license count at renewal.
