Microsoft 365 to Google Workspace: the complete migration guide

Comparing the cost of Microsoft 365 and Google Workspace

By the Google Migrations team · Updated · 3 min read

To compare the cost of Microsoft 365 and Google Workspace, start with your current Microsoft invoice, not list prices. Add up what you pay per user, plus add-ons such as archiving, backup, or conferencing. Then compare that with the Google Workspace edition you need, the one-time migration cost, and the overlap months when you pay for both services.

How do Google Workspace prices compare with Microsoft 365?

Compare Google Workspace prices with your own Microsoft invoice, because what you pay Microsoft depends on your plan, discounts, reseller, and add-ons. We do not quote Microsoft prices here for that reason.

Google Workspace Business editions are priced per user per month. As of October 2026:

EditionAnnual planFlexible planPooled storage per user
Business Starter$7$8.4030 GB
Business Standard$14$16.802 TB
Business Plus$22$26.405 TB

Business editions are capped at 300 users. Larger organizations look at Enterprise editions, which have no such cap. Match editions by what your team actually uses, not by name. For a feature-level view, read Microsoft 365 vs Google Workspace for small business.

What should you count beyond the license price?

Look at everything you pay for on top of the Microsoft license. Common examples include third-party backup, email archiving, extra storage, conferencing tools, and e-signature or security add-ons. Some of these may be covered by a Google Workspace edition and some may not.

A few Google Workspace features often change the math:

  • Pooled storage. Storage is shared across the organization, so heavy users draw on the same pool as light users.
  • Meet recording. Business Standard and Business Plus include recording.
  • Vault. Business Plus adds Google Vault for retention and eDiscovery.

Also count costs that stay. If some people need desktop Office for complex spreadsheets, they still need a Microsoft license that includes the desktop apps. Our guide to right-sizing your Google Workspace licenses helps you avoid paying for more than you use.

What does the migration itself cost?

The migration is a one-time cost on top of licenses. It depends on how many users you have, how much data, and what extras you are moving, such as shared mailboxes, SharePoint, and single sign-on.

Our plans:

  • Free. A self-service email migration tool.
  • Standard. A managed migration of email, contacts, calendars, and files, with delta sync and a weekday switchover.
  • Premium. Adds a dedicated account manager, staged batches, Google Groups, Active Directory sync, SAML, and a weekend switchover.

Managed migrations include 14 days of support after switchover. See our pricing page for current plan details, and what drives the cost of a Google Workspace migration for the factors behind a quote.

Should you pick an annual or Flexible plan?

Pick the annual plan if your headcount is stable, because it costs less. Flexible plans bill monthly with no commitment and cost about 20 percent more than annual plans.

Flexible makes sense when headcount changes often or you want to try Google Workspace before committing. Some teams start on Flexible during the migration and move to annual once things settle. The tradeoffs are covered in annual vs Flexible Google Workspace plans.

How do you avoid paying for both at once?

You will pay for both services for a short time. The goal is to keep that overlap short and planned. Check your Microsoft renewal date early, and plan your switchover so the overlap ends near it.

Once mail is arriving in Gmail and users have confirmed their data, reduce Microsoft licenses to only what you still need. Frequently asked questions

Is buying Google Workspace through a partner more expensive?

Not necessarily. Partners can sell Google Workspace and add billing, support, and setup help. Pricing and terms vary, so compare a partner quote with buying directly from Google. Our guide to buying through a partner explains what to ask.

Do we pay for Google Workspace during the migration?

Yes. Users need Google Workspace licenses before their data can be copied in, so licensing starts before switchover. That is part of the overlap period. Planning the switchover date around your Microsoft renewal keeps the overlap short.
