Microsoft 365 to Google Workspace: the complete migration guide

Working with Word, Excel, and PowerPoint files in Google Drive

By the Google Migrations team · Updated · 3 min read

Google Drive stores Word, Excel, and PowerPoint files as they are, and your team can open and edit them in Docs, Sheets, and Slides without converting. Convert a file when several people need to edit it at once. Keep Office format for files with macros, complex layouts, or partners who expect Office files back.

Can you edit Office files in Google Drive?

Yes. Google Docs, Sheets, and Slides can open and edit Word, Excel, and PowerPoint files directly, and the file stays in its Office format when you save. People do not need Microsoft Office installed to make a quick edit.

When you open an Office file this way, Google shows that it is an Office file. Most everyday editing works the same as in a Google file. Some advanced features only work after conversion, which is why the convert question matters.

Should you convert Office files to Google format?

Convert the files your team works on together, and leave the rest as they are. Converted files get the full Google experience: many people editing at once, comments, suggestions, version history, and easy sharing.

Converting a file saves a new Google copy and leaves the original Office file in place. That is safe, but it can leave two versions side by side. Pick one, and move or delete the other so people do not edit the wrong copy.

Keep Office format when:

  • You send the file to clients or partners who need Word or Excel back.
  • The file depends on macros or features Google does not support.
  • The layout must stay exact, such as a formal template or a printed form.

Drive has a setting that converts new Office uploads to Google format automatically. Turn it on if your team mostly collaborates internally. Leave it off if you exchange a lot of Office files with outsiders.

What does not convert cleanly?

Most documents, spreadsheets, and presentations convert well. A few things need testing before you rely on them.

  • Excel macros. VBA macros do not run in Google Sheets. Sheets uses Apps Script instead, so macros need to be rebuilt or the file kept in Excel.
  • Advanced Excel features. Power Query, Power Pivot, some add-ins, and links between workbooks may not behave the same.
  • Complex Word layouts. Text boxes, unusual section breaks, and detailed templates can shift.
  • Fonts and embedded objects. Fonts that are not available in Google may be replaced, and embedded objects may not carry over.

During discovery, ask each team for their few most important files, such as the pricing model or the proposal template. Test those first. Our list of what does not migrate automatically covers other gaps.

Can your team still use desktop Office with Google Drive?

Yes. Google Drive for desktop puts Drive in File Explorer or Finder, so people can open a file from Drive in desktop Word or Excel and save it back. This works well for the few people who need desktop features.

Real-time co-editing works best in Docs, Sheets, and Slides in the browser, so encourage shared files to live in Google format. People who keep desktop Office still need a Microsoft license that includes the desktop apps. Plan that before you read when to cancel Microsoft 365 after migrating.

How do you send a Google file back as an Office file?

Download it in Office format. In Docs, Sheets, or Slides, choose File, then Download, then the Word, Excel, or PowerPoint option. The original Google file stays in Drive.

This is how most teams handle outside partners. They work together in Google format, then download a Word or Excel copy to send. For more on where files live after the move, see OneDrive to Google Drive migration and the Microsoft 365 to Google Workspace migration guide.

Frequently asked questions

Will our Excel formulas work in Google Sheets?

Most common formulas, such as SUM, VLOOKUP, IF, and pivot tables, work in Google Sheets. Some Excel-only functions and features behave differently or are missing. Test your most important workbooks before you convert them, and keep Excel for any that depend on macros.

Do Office files count against Google Drive storage?

Yes. Office files and other uploaded files count against your organization's pooled storage. On Business editions, storage is pooled across all users, so the total depends on your edition and how many licenses you have.
