What is Gemini in Google Workspace?
Gemini is Google's AI assistant, built into the Workspace apps your team already uses. Instead of opening a separate tool, people work with it inside apps such as Gmail, Docs, and Meet. Google also offers a standalone Gemini app for open-ended questions.
The point is not to replace anyone's judgment. It is to take the first pass at routine writing and summarizing, so people spend more of their time on the work that needs them.
Feature names, capabilities, and plan details change often. This guide describes what Gemini does in general terms. Check Google's current documentation for the exact features on your plan.
What can Gemini do in Gmail, Docs, and Meet?
Gemini helps with three kinds of work: drafting, summarizing, and capturing meetings.
Drafting in Gmail and Docs
In Gmail, Gemini can draft a new message or a reply from a short prompt and adjust its tone or length. In Docs, it can produce a first draft, rewrite a paragraph, or suggest a structure. People should always read and edit the result before it goes anywhere.
Summarizing
Gemini can summarize long email threads and documents and help people find information across their files. That helps when someone returns from leave or joins a project partway through.
Meeting notes in Meet
In Meet, Gemini can take notes during a call and save them to a document, so attendees can focus on the conversation. Tell attendees when notes are being taken, and check that the summary matches what was actually decided.
Which Google Workspace plans include Gemini?
Gemini is included in the core Google Workspace editions at no extra cost, and Google retired the separate Gemini add-ons for Business and Enterprise. What varies is how much you get. Starter covers Gemini in Gmail and the standalone Gemini app, while Standard, Plus, and Enterprise include Gemini across the Workspace apps plus NotebookLM Plus. Google still changes details, so check the current plan comparison, or ask us, before you budget.
Because the details shift, avoid choosing an edition on Gemini alone. Choose based on storage, meeting size, and security needs first, then confirm which Gemini features come with that edition. Our guides on Google Workspace pricing, explained and Business Standard vs Business Plus cover the edition differences.
How do admins control Gemini access?
Admins manage Gemini from the Admin console and can generally turn it on or off for specific organizational units or groups. That makes a pilot straightforward: turn it on for a small group first, learn what works, then expand. If OUs are new to you, see Google Workspace Admin console basics.
Before turning it on widely, review Google's current privacy and data terms for Gemini in Workspace with whoever owns compliance in your organization. If you handle regulated data, such as health information, confirm with your compliance officer or counsel how AI features fit your obligations. Our Google Workspace security and HIPAA guide covers the wider picture.
How do you introduce Gemini to your team?
Introduce Gemini after the basics of Gmail, Calendar, and Drive feel normal. People who are still learning where their files are will not get much from an AI assistant yet.
A simple rollout:
- Pick a pilot group of people who write a lot of email or documents.
- Write a short guideline covering what Gemini is fine to use for, what needs extra care, and the rule that people own whatever they send.
- Run a 30-minute session using real examples from your work.
- After two or three weeks, collect what worked and share it with everyone else.
- Expand access and add Gemini to your training plan for your Google Workspace rollout.

Frequently asked questions
Is Gemini always accurate?
No. Like any AI tool, Gemini can make mistakes or miss context. Treat its output as a first draft. Check facts, names, numbers, and commitments before anything goes to a client or into a business record.
Do we have to turn Gemini on?
No. Admins decide whether and when people get access. You can migrate, let your team settle in, and add Gemini later, or turn it on for a small group first. Check your current plan to see which features are available.
