Setting up Gmail and Google Calendar on phones

By the Google Migrations team · Updated · 3 min read

Install the Gmail and Google Calendar apps, sign in with your work Google Workspace account, and approve any 2-Step Verification prompt. Do it on cutover day, once mail is arriving in Google. Then remove the old Exchange or IMAP account from the phone so people do not see two inboxes. Admins decide how much the organization manages each device.

How do you set up Gmail on a phone?

Install the Gmail app, add your work account, and sign in with your full work email address and password. On Android, Gmail is usually already installed. On iPhone, download Gmail from the App Store. If your organization uses 2-Step Verification, approve the prompt or enter the code when asked.

If you already use Gmail for a personal account, you can add the work account alongside it and switch between them from your profile picture. Each account keeps its own mail, settings, and notifications.

Some organizations require people to accept device policies or install a management app the first time they sign in. If a prompt appears, follow it. It comes from your admin settings.

How do you add Google Calendar on iPhone and Android?

Install the Google Calendar app and sign in with the same work account. Your calendars, including any shared calendars you have turned on, appear automatically. Turn on notifications so meeting reminders reach you.

People who prefer the built-in apps can usually use them instead. On iPhone, add a Google account in Settings and turn on Mail, Contacts, and Calendars. On Android, the work account added for Gmail can also sync contacts and calendars. Admins can limit which apps connect to work accounts, so check your organization's policy first. Some Google features, such as room booking and joining Meet calls, work best in the Google apps.

Add the Google Meet, Drive, and Chat apps too if people use them away from their desks.

What should you do with the old account on the phone?

Remove the old email account from the phone after your mail has moved to Google, not before. If people remove it too early, they lose access to mail during the switch. If they leave it too long, they see two inboxes and reply from the wrong one.

The right moment is after your MX record cutover, once new mail is arriving in Gmail. Our explainer on MX record cutover covers the timing. When the old account comes off, its contacts and calendars disappear from the phone too. That is expected, because they now come from Google.

Send people a short message on cutover day with three steps: install the apps, sign in, then remove the old account.

How does mobile device management work?

Admins choose how much control the organization has over phones from the Admin console. Basic management applies simple protections, such as requiring a screen lock, with little setup for users. Advanced management adds more control, such as stronger passcode rules, approving devices before they sync, and wiping work data from a lost device. Options vary by edition.

On Android, advanced management can use a work profile that keeps work apps separate from personal ones. Whatever you choose, decide before rollout and tell people what the organization can and cannot see. Personal phones raise fair privacy questions, and a clear answer reduces resistance. For policy choices, see the Google Workspace security checklist for small businesses.

How does 2-Step Verification work on phones?

The phone is often the second step. When someone signs in on a new device, Google can send a prompt to their phone, ask for a code from an authenticator app, or ask for a security key.

Set up 2-Step Verification before cutover day where you can. Doing it on the same morning people first sign in on their phones creates a pile-up of help requests. Our guide on rolling out 2-Step Verification covers a calmer approach. People reading mail in the Gmail app for the first time will also find Gmail labels vs Outlook folders useful, and the Google Workspace adoption and training guide covers the full rollout.

Frequently asked questions

Can I use the iPhone Mail app instead of Gmail?

Yes, unless your admin restricts it. Add a Google account in iPhone Settings, sign in, and turn on Mail. Gmail labels appear as folders in the Mail app, and features such as Gmail search work best in the Gmail app itself.

What happens if a work phone is lost?

Tell your admin right away. Depending on your mobile management settings, the admin can sign the account out of the device, block it from syncing, or wipe work data. Change the account password as well.
