Why do teams move from Zoho Mail to Google Workspace?

Teams usually move from Zoho Mail to Google Workspace because they want Gmail, Drive, Docs, and Meet under one account, or because the people they work with already use Google tools. The move itself is mostly an IMAP migration with a few Zoho-specific steps. How do you prepare Zoho Mail for migration?

You prepare Zoho Mail by confirming that IMAP access works for every mailbox you plan to copy and by listing every user, alias, and group. Depending on your Zoho plan and settings, IMAP access may need to be turned on before a migration tool can sign in. Test one mailbox before you plan the whole move.

Then build your inventory:

• Every user mailbox, with its size.
• Aliases and group addresses, such as support@ or billing@.
• Filters and signatures people rely on.
• Calendars and contact lists kept in Zoho.
• Other Zoho apps that send or log email, such as a CRM or help desk.

That last item is easy to miss. If another Zoho app depends on Zoho Mail, decide how it will connect to Gmail before switchover day, and test it.

How do you copy mail from Zoho to Gmail?

You copy mail from Zoho to Gmail with an IMAP migration tool that signs in to each Zoho mailbox and writes its messages into the matching Google Workspace account. The data migration service in the Google Admin console supports IMAP sources and works well for basic moves.

For each user, the tool needs a way to sign in. That is usually the mailbox password. If a Zoho account uses two-step sign-in, an app-specific password may be needed instead. Plan how you will gather these, or reset passwords in a controlled window.

How do you move Zoho calendars and contacts?

You move Zoho calendars and contacts by exporting them from Zoho in standard file formats and importing them into Google Calendar and Google Contacts. IMAP carries only mail, so this step is separate. Calendars typically export as iCalendar files and contacts as CSV or vCard files, both of which Google can import.

Imported calendar events may not keep every detail, such as attendee responses on recurring meetings. Check important recurring meetings after import, and have organizers resend invites where needed. Shared team calendars are often easier to recreate in Google Calendar and share with a group.

How do you switch from Zoho to Google Workspace?

After the switch:

• Update your SPF record for Google and set up DKIM in the Admin console.
• Recreate filters, signatures, and group addresses.
• Connect phones and desktop apps to Google Workspace.
• Keep Zoho active for a short period until every user confirms their mail.

Cancel Zoho only after nothing new is arriving there and your final checks are done.
